Privacy Policy
This policy explains what data Searchestra collects, how we use it, who we share it with, how long we keep it, and how you can delete it. Searchestra is a business analytics product: we measure how AI answer engines describe brands and categories.
1. Who we are
Searchestra ("Searchestra", "we", "us") is operated by {{LEGAL ENTITY NAME}}. We are the data controller for the account and usage data described below. For the brand and category content we process on your instruction to run scans, you are the controller and we act as your processor.
2. Data we collect
We collect only what is needed to run the service:
- Account data, your name, email, hashed password, organization and role.
- Project inputs, the domains, brand names, competitors, topics and markets you enter for measurement.
- Measurement outputs, the AI answers we collect for your prompt set and the metrics we derive (mentions, citations, ranks, sentiment).
- Usage & technical data, logs, IP address, device/browser type and basic analytics needed to operate and secure the service.
We do not sell your data, and we do not fabricate measurement data.
3. How we use data
- To run scans, compute visibility metrics and show your dashboards.
- To provide competitor benchmarking and recommended actions.
- To authenticate you, secure accounts and prevent abuse.
- To support you and to improve the reliability of the product.
4. AI providers & scans
To measure visibility, Searchestra sends category prompts (not your private data) to third-party AI answer engines and search-data providers, then stores their responses for your project. Prompts are brand-neutral and reproducible. If a provider is unavailable, we record that and narrow the affected metric rather than inventing a result.
You can use your own AI provider keys; in that case requests are billed to your provider account under their terms.
5. Sharing & sub-processors
We share data only with service providers that help us run Searchestra, under contract and only as needed:
- Cloud hosting & storage, infrastructure and object storage.
- AI answer engines & search-data providers, to collect measurements for your prompt set.
- Operational tooling, email delivery, error monitoring and analytics.
We may disclose data where required by law or to protect the rights and safety of users.
6. Retention & deletion
We keep account and project data while your account is active. You can delete a project, or your whole account, from the app; on account deletion we remove your personal data within 30 days, except where retention is required by law. Backups age out on a rolling schedule.
7. Security
Passwords are hashed, transport is encrypted with TLS, and access to production data is restricted and logged. No system is perfectly secure, but we work to protect your data with reasonable technical and organizational measures.
8. Your rights
Depending on your location (including under KVKK and GDPR) you may request access, correction, deletion, portability, or object to certain processing. Contact us and we will respond within the timeframe the law requires.
